Welcome Messages

Automatically send a personalised welcome message to every member the moment they're approved — no manual messaging required.

How It Works

When GroupHunter's Chrome extension approves a member, it simultaneously sends a Facebook message to that member from your account. The message appears in their Facebook Messenger inbox, just like a message you'd send manually.

Setup

Welcome messages are configured per group:

  1. Go to Groups in the sidebar
  2. Click Settings next to a group
  3. Open the Autoresponder tab
  4. Write your welcome message
  5. Toggle Enable welcome message on
  6. Click Save Settings

Writing Your Welcome Message

Use these placeholders — they're replaced with real values when the message is sent:

Name of the Facebook group

Example welcome message:

Hi [first_name]! 👋

Welcome to [group_name]! We're so glad you're here.

Tips for Effective Welcome Messages

  • Keep it short — members just joined; don't overwhelm them
  • Be specific — tell them one clear next step
  • Add value immediately — link to a free resource, guide, or offer
  • Match the group's tone — casual for community groups, professional for B2B

Decline Messages

Set up a decline message in the same Autoresponder tab. This is sent when a member is declined (auto or manually):

Hi [first_name],

Thank you for your interest in joining [group_name].

Unfortunately, we weren't able to accept your request at this time. If you believe this was an error, please feel free to reapply.

Pre-Approval Messages (Optional)

The Pre-Approval Message is sent before final approval — useful for sending instructions or collecting additional information. Enable this in the Autoresponder tab if you want a two-step communication flow.

Checking Message Status

GroupHunter doesn't currently show a log of messages sent. You can verify messages are working by checking your Facebook Messenger sent box after a member is approved.

Info — Facebook has rate limits on messaging. Avoid approving hundreds of members at once, or some messages may not send. GroupHunter sends messages with appropriate delays to stay within limits.
