Member Management

GroupHunter's member management features give you complete control over your Facebook Group membership approvals, with powerful search, filtering, and bulk action capabilities.

Overview

The member management system allows you to:

  • View all members across multiple Groups in one place
  • Search and filter by Group, name, email, status, lead score
  • Approve or decline members with one click
  • Process multiple members simultaneously with bulk actions
  • Track member history and activity
  • Export member data to CSV

Accessing Member Views

GroupHunter provides three member views:

1. All Members

Location: Dashboard → Members → All Members

Shows every member captured by GroupHunter, regardless of status.

Use cases:

  • Search for a specific member across all Groups
  • Export complete member database
  • View historical data
  • Analyze trends over time

2. Pending Members

Location: Dashboard → Members → Pending

Shows only members waiting for approval.

Use cases:

  • Daily member approval workflow
  • Process new membership requests
  • Apply bulk actions to pending members
  • Monitor automation rule effectiveness

3. Leads View

Location: Dashboard → Members → Leads

Shows high-value members sorted by lead score.

Use cases:

  • Focus on highest-quality leads
  • Export leads for email marketing
  • Prioritize members with complete information
  • Track email capture success

Member Card Information

Each member is displayed as a card with comprehensive information:

Profile Section

  • Profile Picture — From Facebook profile
  • Name — First and last name (clickable → Facebook profile)
  • Profile URL — Direct link to Facebook profile
  • Join Date — When they requested to join

Lead Score

  • Score (0-100) — Overall lead quality
  • Color indicator:
    • 🟢 Green (80-100): Excellent lead
    • 🟡 Yellow (50-79): Good lead
    • 🔴 Red (0-49): Low-quality lead

Lead score is calculated based on:

  • Email provided (+30 points)
  • Phone provided (+20 points)
  • Verified email (+10 points)
  • All questions answered (+10 points)
  • Mutual friends (+5 points per friend, max +15)
  • Facebook account age (+10 if greater than 1 year)
  • Answer quality (+5-10 based on length/completeness)

Group Information

  • Group Name — Which Group they requested to join
  • Group Size — Total members in the Group

Membership Questions & Answers

All membership question answers are displayed:

Q: What's your email address?

Extracted data indicators:

  • 📧 Email extracted
  • 📱 Phone number extracted

Facebook Account Info

  • Account Age — How long they've been on Facebook
  • Mutual Friends — Friends in common with you
  • Groups in Common — Other Groups you both admin

Action Buttons

  • Approve (green) — Approve and send welcome message (if configured)
  • Decline (red) — Decline and optionally send decline message
  • Flag for Review (yellow) — Mark for manual review later
  • View Full Profile — Open Facebook profile in new tab

Search and Filtering

Search Bar

Located at the top of any member view, the search bar allows you to find members by:

  • Name — First or last name
  • Email — Full or partial email
  • Answers — Keywords in membership answers
  • Group name — Filter by specific Group

Example searches:

  • john — Finds all Johns
  • @gmail.com — All Gmail users
  • marketing — Members who mentioned "marketing" in answers

Filter Options

By Group

Select one or more Groups to narrow results:

  • All Groups (default)
  • Marketing Masters
  • Fitness Hub
  • [Your Groups...]

By Status

  • All statuses
  • Pending (waiting for approval)
  • Approved
  • Declined
  • Flagged for review

By Lead Score

Use the range slider to filter by score:

  • High quality (80-100)
  • Medium quality (50-79)
  • Low quality (0-49)
  • Custom range

By Data Captured

  • Has Email — Only members with extracted email
  • Has Phone — Only members with extracted phone
  • Complete Profile — All questions answered

By Date

  • Last 24 hours
  • Last 7 days
  • Last 30 days
  • Custom date range
  • All time

Combine multiple filters! For example: "Marketing Masters" + "Has Email" + "Score 80+" to find your best leads from a specific Group.

Approving Members

Single Approval

To approve one member:

  1. Find the member card
  2. Click the green Approve button
  3. Member is approved on Facebook (takes 2-5 seconds)
  4. Welcome message is sent (if configured)
  5. Member is added to integrations (Sheets, email list, webhooks)
  6. Card moves to "Approved" status

Bulk Approval

To approve multiple members at once:

  1. Check the boxes next to members you want to approve
  2. Click Bulk Actions → Approve Selected
  3. Confirm the action
  4. Members are processed sequentially (2-3 seconds each for safety)
  5. Progress indicator shows completion

Bulk approvals are rate-limited to 1 member every 2-3 seconds to avoid triggering Facebook's spam detection. Approving 50 members takes ~2-3 minutes.

Approval Options

When approving, you can optionally:

  • Send Welcome Message — Use a template or skip
  • Add to Email List — If email marketing integration is connected
  • Trigger Webhook — Fire custom automation
  • Sync to Google Sheet — Add row with member data

Declining Members

Single Decline

To decline one member:

  1. Find the member card
  2. Click the red Decline button
  3. Optionally select a decline message template
  4. Click Confirm Decline
  5. Member is declined on Facebook
  6. Decline message sent (if selected)
  7. Card moves to "Declined" status

Decline Reasons

You can add a decline reason for internal tracking:

  • Spam/Bot
  • Incomplete answers
  • No email provided
  • Suspicious profile
  • Doesn't meet criteria
  • Other (custom note)

Bulk Decline

Similar to bulk approval:

  1. Select members with checkboxes
  2. Click Bulk Actions → Decline Selected
  3. Optionally choose decline message
  4. Confirm
  5. Members are declined sequentially

Flagging for Review

If you're unsure about a member, flag them:

  1. Click the yellow Flag for Review button
  2. Optionally add a note (e.g., "Check if business is legit")
  3. Member stays in pending status but marked with a flag 🚩
  4. Review flagged members later from the "Flagged" filter

Use cases:

  • Borderline members needing more research
  • Profiles that look suspicious but aren't clear spam
  • Members you want to approve after verifying external info

Viewing Member Details

Click View Full Profile or the member's name to see expanded details:

Detailed View Panel

Opens a modal with:

Profile Tab:

  • Full profile picture
  • Complete name and profile URL
  • About section (if public)
  • Work, education (if public)
  • Location (if public)

Answers Tab:

  • All membership question answers
  • Timestamps for each answer
  • Detected emails and phones highlighted

Activity Tab:

  • When member requested to join
  • Automation rules that evaluated this member
  • Previous actions (if they requested before)
  • Notes added by you

History Tab (if member was previously approved/declined):

  • Previous approval/decline dates
  • Who took the action
  • Messages sent
  • Integration syncs triggered

Bulk Actions

Select multiple members to:

Approve All Selected

Process approvals in batch with rate limiting.

Decline All Selected

Decline multiple members at once.

Export to CSV

Download selected members with:

  • Name
  • Email
  • Phone
  • Group
  • Join date
  • Lead score
  • Q&A answers (each question as a column)

Add to Email List (if integration connected)

Send selected emails to Mailchimp, ConvertKit, etc.

Delete

Permanently remove from GroupHunter (does not affect Facebook).

Bulk actions process members one at a time to stay within Facebook's safety limits.

Automation and Member Management

GroupHunter can automatically process members based on rules:

Auto-Approval

Members matching approval rules are automatically approved without manual intervention.

Indicator: Green "AUTO" badge on member card.

Auto-Decline

Members matching decline rules are automatically declined.

Indicator: Red "AUTO" badge on member card.

Manual Override

You can always manually approve/decline members that were auto-processed.

Member Status Lifecycle

1. Member requests to join on Facebook
   ↓
2. GroupHunter captures the request (when synced)
   ↓
3. Status: PENDING (appears in dashboard)
   ↓
4a. Auto-processed by rules (if configured)
    OR
4b. Manually approved/declined by you
   ↓
5. Status: APPROVED or DECLINED
   ↓
6. Optional: Welcome/decline message sent
   ↓
7. Synced to integrations (Sheets, webhooks, email)

Export member data for external analysis:

Best Practices

Daily Workflow

  1. Check Members → Pending first thing each day
  2. Review members with score 80+ (high-quality leads)
  3. Use bulk approve for clearly qualified members
  4. Flag suspicious profiles for deeper review
  5. Decline obvious spam/bots
  6. Export leads to your CRM/email tool

Efficiency Tips

  • Use filters to focus on specific member segments
  • Set up automation rules to handle obvious approvals/declines
  • Process in batches — Don't approve one at a time all day
  • Review flagged members weekly
  • Export weekly to keep external systems in sync

Safety

  • Don't approve 100+ members in one session (looks suspicious)
  • Spread bulk approvals throughout the day
  • Review automation rule results regularly
  • Decline politely (use decline messages)
