Per-Group Settings

Configure unique automation rules, messaging, and integrations for each Facebook Group you manage. Different Groups can have completely different workflows.

Accessing Group Settings

  1. Go to Groups page
  2. Find the Group you want to configure
  3. Click Settings button
  4. Three tabs appear: Setup, Autoresponder, Autoapprove

Setup Tab

Configure Google Sheets integration for this specific Group.

Google Sheets

Google Sheet URL:

  • Paste the sharing link to your Sheet
  • Must have "Anyone with link can edit" permissions
  • Click Verify to test connection

What syncs: When members are approved in this Group:

  • New row added to Sheet
  • Columns: Name, Email, Phone, Profile URL, Join Date, Answers, Lead Score

Multiple Groups: Each Group can sync to its own Sheet, or all Groups to one Sheet.

Use separate Sheets per Group for organized tracking. Use one Sheet for all Groups if you want a master database.

Autoresponder Tab

Configure messaging for this Group.

Welcome Messaging

Enable Welcome Messaging — Toggle on/off

Select Template:

  • Choose from message templates you created
  • Different Groups can use different welcome messages
  • Example: Professional greeting for business Group, casual for hobby Group

Message Timing:

  • Sent 2-5 seconds after approval
  • Random delay for safety

Decline Messaging

Enable Decline Messaging — Toggle on/off

Select Template:

  • Choose decline message template
  • Explain why they were declined
  • Offer alternatives or reapply instructions

When to use:

  • High-value Groups (polite rejection builds brand)
  • Automated declines (explain the rules)
  • Optional for obvious spam (no need to message bots)

Auto-Decline Keywords

Enable keyword-based auto-decline:

Enter spam keywords (comma-separated):

buy followers, DM me, check my page, link in bio, 
promote, spam, scam, bot

Members with these keywords in answers are automatically declined.

Test keywords carefully! "Promote" might catch "I want to promote my business" (legitimate) and "Promote my spam" (actual spam).

Autoapprove Tab

Configure automatic approval rules for this Group.

Enable Automatic Approval

Toggle on to activate auto-approval for this Group.

When enabled:

  • Members matching conditions are approved automatically
  • Welcome message sent (if configured)
  • Synced to integrations

When disabled:

  • All members require manual review
  • No automation (useful for testing)

Auto-Decline Non-Matching

Enable: Automatically decline members who don't meet criteria

Use with caution:

  • Only enable if you're confident in your conditions
  • May reject legitimate members
  • Better to flag for review initially

Approval Interval

Auto-approve members every X minutes:

  • 5 minutes (most frequent)
  • 15 minutes
  • 30 minutes
  • 60 minutes

Frequency of auto-approval checks. Lower = faster approvals, but more API calls.

Approval Conditions

Configure what qualifies a member for auto-approval:

Group Questions Answered

✓ All membership questions must be answered
❌ No blank answers allowed

Email Required

✓ Email must be extracted from answers
Common requirement for lead capture

Agree to Group Rules

✓ Member checked "I agree to group rules" on Facebook
Filters out spam/bots who ignore rules

Automatically Approve if Responses Match

✓ Answers match expected/pre-defined responses
Example: Gender = "Female" for women-only Group

Facebook Profile Criteria

Joined Facebook At Least

Dropdown: Any / 30 days / 90 days / 180 days / 1 year

Filters out new/fake accounts. Common setting: 90-180 days.

Located/Lives In

Text field: e.g., "New York", "USA", "United Kingdom"

Restrict to specific geographic locations.

Has X Mutual Friends

Number field: Minimum mutual friends with you

Trust signal. Common setting: 3-5 mutual friends.

Has X Friends in Group

Number field: Minimum friends already in the Group

Strong trust signal — member knows existing members.

Has X Groups in Common

Number field: Minimum Groups in common with you

Indicates genuine community member across multiple Groups.

Examples

Example 1: Professional Business Group

Setup:

  • Google Sheets: Sync to "Business Leads" Sheet

Autoresponder:

  • Welcome: Professional greeting + resource links
  • Decline: Polite explanation + invite to reapply
  • Keywords: "buy followers", "DM me", "promote"

Autoapprove:

  • ✓ All questions answered
  • ✓ Email required
  • ✓ Joined Facebook ≥ 180 days
  • ✓ 3+ mutual friends
  • Auto-approve every 15 minutes

Result: High-quality, pre-qualified leads approved automatically.

Example 2: Casual Hobby Group

Setup:

  • Google Sheets: Sync to "Members" Sheet

Autoresponder:

  • Welcome: Casual, friendly greeting
  • Decline: Not enabled (manual only)

Autoapprove:

  • ✓ All questions answered
  • ✓ Email NOT required (casual)
  • ✓ Joined Facebook ≥ 30 days (lenient)
  • Auto-approve every 5 minutes

Result: Fast approvals, minimal friction, still filters bots.

Example 3: High-Value Paid Group

Setup:

  • Google Sheets: None (privacy)

Autoresponder:

  • Welcome: Personalized with login instructions
  • Decline: Detailed explanation + refund info

Autoapprove:

  • Disabled — All members manually reviewed

Result: Complete control, ensure only paying/qualified members.

Per-Group vs Global Rules

Global Rules

  • Apply to all Groups (unless overridden)
  • Set in Automation → Rules
  • Example: Spam keyword filter across all Groups

Per-Group Settings

  • Override global settings for specific Group
  • Set in Groups → Settings
  • Example: Require email in Group A, but not in Group B

Priority: Per-Group settings override global rules.

Best Practices

Start Conservative

For new Groups:

  1. Disable auto-approval initially
  2. Manually review 50-100 members
  3. Understand member patterns
  4. Enable automation gradually

Customize Per Audience

Business Groups:

  • Require email
  • Higher Facebook age threshold
  • Mutual friends requirement

Casual Groups:

  • Email optional
  • Lower threshold
  • Faster approval

Local Groups:

  • Location filter
  • Friends in Group requirement

Monitor and Adjust

Review per-Group performance monthly:

  • Are auto-approvals accurate?
  • Too many spam getting through?
  • Legitimate members being declined?

Adjust conditions based on results.

Troubleshooting

Auto-approval not working

Check:

  • Auto-approval is enabled
  • Conditions are possible to meet
  • Members actually meet the conditions
  • Approval interval hasn't passed yet

Too many false positives

Fix:

  • Loosen conditions (fewer requirements)
  • Lower threshold (e.g., 30 days instead of 180)
  • Review declined members to understand patterns

Too many false negatives (spam approved)

Fix:

  • Add keyword filters
  • Increase Facebook age requirement
  • Require email + all questions answered
  • Add manual review step
