Per-Group Settings

Per-Group Settings is the primary way to configure automation in GroupHunter. Each Facebook Group you enable gets its own independent configuration — different auto-approve criteria, different messages, different Google Sheet.

Tip — Most users only need Per-Group Settings to get fully automated. Global Automation Rules (under the Automation menu) are an advanced feature for cross-group rule-making.

Accessing Group Settings

  1. Go to Groups in the sidebar
  2. Make sure the group is enabled (toggle is on)
  3. Click the Settings button next to the group
  4. The settings wizard opens with three tabs: Setup, Autoresponder, and Autoapprove

Setup Tab — Google Sheets Integration

Connect a Google Sheet to this group so approved members' data flows in automatically.

Google Sheet URL

  • Paste the sharing link to your Google Sheet
  • The sheet must have "Anyone with link can edit" permissions
  • Click Verify to test the connection — GroupHunter will check it can write to the sheet

What Gets Synced

When a member is approved in this group, the following data is written to a new row:

ColumnData
NameMember's full name
EmailExtracted email address (if found)
PhoneExtracted phone number (if found)
AnswersAll membership question answers
Lead Score0–100 score based on data quality
GroupGroup name
Approved AtDate and time of approval

Info — Data is written at the moment of approval. If you approve members manually before connecting Sheets, those members won't be retroactively added.

Autoresponder Tab — Messages

Configure automatic messages sent when members are processed.

Welcome Message

Sent automatically when a member is approved. Use these placeholders:

  • [first_name]
    — member's first name
  • [group_name]
    — name of the Facebook group
  • [last_name]
    — member's last name (if available)

Example:

Hi [first_name]! 👋

Welcome to [group_name]! We're so excited to have you.

Feel free to introduce yourself and ask any questions.

Toggle Enable welcome message to activate it.

Pre-Approval Message

An optional message sent before final approval. Useful for sending next-step instructions to members who pass initial screening. Toggle to enable.

Decline Message

Sent automatically when a member is declined. Keep this respectful and informative about why they weren't approved.

Autoapprove Tab — Approval & Decline Criteria

This is where you define the rules that determine who gets automatically approved or declined for this specific group.

Auto-Approve Criteria

Members who meet all enabled criteria are automatically approved:

SettingWhat It Does
Require email in answersMember must have provided an email address in their answers
Require all questions answeredEvery membership question must have a non-empty answer
Require keyword matchAt least one answer must contain one of your specified keywords
Minimum answer lengthEach answer must be at least N characters long

Enable the criteria you care about. Members who don't meet your criteria are left as pending for manual review.

Auto-Decline Criteria

Members who trigger any enabled decline rule are automatically declined:

SettingWhat It Does
Decline if no emailAuto-decline anyone who didn't provide an email
Decline for keywordsAuto-decline if answers contain spam/blocked keywords
Decline if answers too shortAuto-decline bare-minimum answers

Warning — Decline rules are applied first. A member matching a decline rule will be declined even if they also meet approve criteria. Set decline rules carefully.

How Auto-Processing Works

When you open a Facebook Group's Membership Requests page with the extension running, GroupHunter:

  1. Syncs new pending requests to your dashboard
  2. Evaluates each request against the decline criteria — declining matches immediately
  3. Evaluates remaining requests against the approve criteria — approving matches
  4. Leaves non-matching members as pending for your manual review

Saving Settings

Click Save Settings at the bottom of any tab. Settings are saved per group — changing one group's settings does not affect others.

What Happens After Saving

Once saved, the group shows a "Configured" status on the Groups page. From this point, GroupHunter will automatically process members according to your settings each time the extension syncs the group.

Multiple Groups

You can have completely different settings per group:

  • Group A: strict criteria (email + all questions answered), welcome message
  • Group B: keyword-only matching, no messages
  • Group C: no auto-approve (use it just for data capture to Sheets)

Each group is fully independent.
